Program & Executive Support Specialist

Department Administration
Reports To Executive Director
Status Part-Time, Non-Exempt (24 hours/week)
Compensation $22-$24 per hour depending on experience

Position Summary

The Program & Executive Support Specialist provides high-level administrative, organizational, and communication support to the Executive Director and leadership team of Safe Start. This role is central to the smooth functioning of the organization and serves as a trusted point of contact for staff, board members, partners, donors, and families.

As part of this position, the employee is required to complete training and certification as a Child Passenger Safety Technician (CPST) and Safe Sleep Educator and will work directly with families individually and at community safety events.

Key Responsibilities

  • Provide executive and administrative support including scheduling, correspondence, and meeting preparation
  • Serve as administrative liaison to the Board of Directors and committees
  • Support fundraising administration including major event planning and execution, donor database entry, and acknowledgments
  • Assist with communications, outreach, and basic marketing coordination
  • Create, schedule, and publish social media content in alignment with Safe Start’s voice and mission
  • Monitor messages and comments and escalate as appropriate
  • Coordinate content with programs, events, and fundraising activities
  • Coordinate participant communication and logistics for classes and safety events
  • Complete required training and certification as a Child Passenger Safety Technician (CPST) and Safe Sleep Educator
  • Provide direct education and support to families at car seat checks, safe sleep events, and community outreach activities
  • Model Safe Start’s mission, values, and trauma-informed approach in all interactions

Qualifications

  • 2+ years of administrative or executive support experience
  • Strong organizational, communication, and time-management skills
  • Demonstrated proficiency in posting, scheduling, and managing content on social media platforms (Facebook and Instagram required; others a plus)
  • Ability to handle confidential information with discretion
  • Willingness and ability to complete CPST certification and Safe Sleep training within a designated timeframe
  • Comfort working directly with families individually and in community-based and event settings
  • Proficiency with Microsoft Office and Google Workspace
  • Bachelor’s degree or equivalent experience preferred

Training & Certification Requirements

This position requires completion of Child Passenger Safety Technician (CPST) certification and Safe Sleep education training. Training costs will be covered by the organization. Certification must be completed within a timeframe established by Safe Start and maintained throughout employment.

Work Environment & Physical Requirements

This role includes office-based work and community-based event work. Duties may require standing for extended periods, lifting up to 25 pounds, working outdoors during events, and engaging directly with families.
